The 'text-shaped' test does most of the work. If the task can be described as “text in, better text out”, automation is a reasonable bet. If it needs judgement in a live conversation, it is a person's job and no amount of tooling changes that.
Frequency decides payback. A task that takes five minutes but happens twice a month will never repay the build; the same five minutes happening hourly repays it inside a week.
The fix, in four steps
- Apply the three tests Repeatable, measurable, text-shaped, plus weekly frequency. Anything failing two of them is not a candidate.
- Measure the before Log the current time per instance. Without a baseline you cannot tell whether it worked.
- Keep a human gate Nothing sends, spends or publishes without approval until it has earned the right.
- Write the kill switch down Who turns it off, how, and what happens to queued work. Before it runs, not after.
Start with the task that already has a record. It is the only kind you can prove.
Calls came in while the crew was on site. The owner thought he answered 97% of them.
Every enquiry answered the same day, including mid-job.
“I've worked with people who understand AI and others who understand business, but rarely someone who connects both so naturally. He helped us rethink our workflows and showed how specialized AI agents could take over repetitive work while keeping our team focused on higher-value decisions.”
